SECRETARIES – OFFICES IN EACH BUILDING      

                                                                                                                                                                                 

REPORTS TO:  Building Principal

 

QUALIFICATIONS:

  1. High school diploma.
  2. At least two years experience.
  3. Experience in word processing and other office equipment.
  4. Knowledge of office procedures and ability to work with others.
  5. Such alternatives to the above as the Board may find appropriate.

 

JOB GOAL:        To contribute to the efficient operation of a school office so that it can play its effective part

                              in the education process.

                                           

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Serves as receptionist for the school.
  • Receives and routes all incoming telephone calls and messages for students and staff.
  • Distributes mail and inter-office communications.
  • Greet visitors, determine their needs, and check appointments, direct to proper person.
  • Performs usual office routines - typing, filing, mailings, ordering supplies, etc.
  • Maintains a daily teacher attendance log and reports absences to payroll supervisor.
  • Maintains a complete and systematic set of records for all financial transactions within the school.

                  a)       Type purchase orders from approved requisitions.

                  b)       Keep budget information by department and assign all budget codes.

                  c)       Process books and supplies as they arrive and send to proper person.

                  d)       Process invoices for payment and send to bookkeeper.

                  e)       Keep and file all petty cash records, make deposits.

  • Enroll all new students entering the district - send records for transferring students.
  • Responsible for "Use of Facilities" for your building - scheduling, billing, etc.
  • Keep students, teachers and parents informed with bulletins, newsletters, calendars, etc.
  • Maintain student attendance, grades, and discipline records.
  • Maintain cumulative student records and forward to proper school when necessary.
  • Produce reports for enrollment and attendance for core data purposes.
  • Assist in the supervision of students when necessary.
  • Responsible for other duties as may be assigned.

 

TERMS OF EMPLOYMENT:   Ten, or eleven months depending on exact position.  Salary and work

                                                              year arranged by the Superintendent and BOE.

 

EVALUATION:  Performance evaluated by the Building Principal and Assistant Principal in accordance with

                             policies of the BOE.
